Challenge
Manual review required analysts to correlate mortgages, assignments, modifications, subordinations, and releases across separate documents and filing dates. This process was slow and error-prone, and missing even one relevant filing could lead to incorrect lien conclusions or added title risk.
Solution
XtractSol implemented an automated mortgage tracking workflow that collects recorder documents, extracts content through OCR, and structures each filing as a mortgage event. Documents were categorized into core mortgage-related types and key fields such as borrower, lender, loan amount, recording date, instrument number, assignee, and release details were standardized for consistent review.
Related filings were then linked over time using instrument references, borrower-lender relationships, and property identifiers to reconstruct a complete mortgage lifecycle rather than isolated document snapshots. This improved auditability and operational clarity while keeping external communication focused on high-level workflow outcomes.
