Order Intake & File Setup

Intake should take minutes. Not a morning.

AI agents catch every order the moment it lands, read the details out of whatever format it arrives in, and open a clean file in your production system. A person confirms before anything is final.

The front door

Six ways the first mile costs you.

Orders arrive from everywhere, and almost none of them arrive the same way twice.

  • 01 An order sits unopened in a shared inbox during a busy week
  • 02 Somebody rekeys the same parties and property for the third time
  • 03 A transposed digit in a loan amount travels the whole file
  • 04 Two files get opened on the same deal and start racing
  • 05 The first products are not ordered until someone remembers
  • 06 Deadlines are calendared a day late, or not at all

What it covers

From inbox to ready file

01 / CAPTURE

Every channel, the moment it lands

Lender platforms, agent emails, web portals or PDF attachments. Nothing sits unopened and no order slips through in a busy week.

02 / EXTRACTION

Read once, checked twice

Buyer, seller, property, loan details and product requests pulled out and checked for anything missing or inconsistent. Every field links to its source.

03 / DUPLICATES

Caught before the file opens

The agent checks for existing matches on property, parties or order number, so you never end up with two files racing each other on one deal.

04 / FILE CREATION

No manual keying

Confirmed data flows straight into your production platform, with parties, property and order details already in place.

05 / FIRST ORDERS

Products ordered on day one

Title search, tax certificates and your other standard products kick off the moment the file opens, on your rules. That is days off the front of the transaction.

06 / SETUP

Ready to work, not just open

Contacts for lenders, agents, buyers and sellers created and linked, and key dates like closing and contingency deadlines calendared automatically.

Order Intake & File Setup
A worked example

What "ready to work" actually means

Plenty of tools can open a file. The difference is whether anyone still has to finish setting it up afterwards.

By the time this one reaches a person, the parties exist and are linked, the address has been checked against the parcel number, the first products are on order and the dates are in the calendar. Every value carries a note saying which part of the order it came from.

One thing is deliberately unfinished. The agent found an existing file on the same parcel, so it stopped rather than opening a second one. That decision belongs to a person, and the whole setup waits until they make it.

The first mile

Why the front door decides the rest of the file

Order through ready file

Every later check inherits whatever intake captured

The names, the parcel and the loan details entered at intake are what the search runs against, what the exam compares to, and what the commitment eventually describes. A transposed digit or a mis-keyed middle initial does not stay at the front of the file. It travels. Milliman's work for ALTA found that about 40% of refinance-related losses come from issues a public records search cannot surface at all, which puts a premium on capturing the party and property data correctly the first time.

The agent reads the order in whatever format it arrives, puts a source link on every field, and checks for duplicates on parcel, parties and order number before anything opens. What it cannot read confidently, it flags rather than guesses. Then a person confirms, the file opens with parties linked and deadlines calendared, and the first products go out on your rules instead of when somebody remembers.

CheckedDuplicates caught before a file opens, not after
ConfirmedNothing final until a person signs off
An agent that guesses at a name it cannot read is not saving you time. It is moving the error somewhere harder to find.

Accuracy

Nothing final without a person

  • Every field the agent enters links back to the document it came from
  • Missing or inconsistent data is flagged, never guessed at
  • Duplicate and conflict checks run before a file is opened, not after
  • Your data is never used to train any model

How we roll it out

A short build, not a long programme

STEP 01

Discovery call

How orders reach you today, which systems you run, and where intake costs you most.

STEP 02

Workflow audit

We review real sample orders and define exactly what the agent should read, create and hand off.

STEP 03

Build and train

Tuned on your real order formats, so it reads your lenders' documents accurately and flags the edge cases.

STEP 04

Go live

Connected to your intake channels and production system, with your review checkpoints built in.

We give you a timeline for your own build after the workflow audit, once we have seen your order sources and formats.

Order Intake & File Setup
Good to know

Questions we actually get

How accurate is the extraction, and who checks it?

The agent puts a source link on every field it reads and flags anything missing or inconsistent rather than guessing. A person reviews and confirms before a file is finalized, and you decide where that checkpoint sits. Accuracy and control stay with your team.

Does this replace our intake staff?

No. It removes the reading and the keying, not the judgment. Someone on your team still confirms the setup and handles the orders that do not fit the pattern. The point is to give the hours back, and how you spend them is your call.

Which production systems do you integrate with?

SoftPro, Qualia, ResWare and RamQuest among the major platforms, and we can build connections to in house systems. We confirm exactly how the agent will open and populate files in your environment during the workflow audit.

What happens when a new lender sends a format we have never seen?

The agent extracts what it can confidently read and routes the rest to a person rather than guessing. New formats get added as they appear, and the agent is tuned on them so the same lender is handled cleanly the next time.

How quickly can intake automation go live?

We start with your highest volume order source, then widen from there. You see progress at each step rather than one big reveal at the end, and you get a dated timeline for your own build after the workflow audit.

What does it cost?

A monthly platform fee plus a rate that scales with your order volume. You get a firm number after the workflow audit, before you commit to anything.
