The structured data a title team works with every day is an extraction. It is fast to read and easy to search, but it is a copy. When an underwriter has to defend a decision, or an examiner is asked why a value was reported the way it was, the extracted field is not enough on its own. They need the original recorded document, and they need to see how it was found. We built a workflow that keeps the source right beside the data, so any value can be traced back to the document it came from.
- Traceable values with every field linked to its source document and how it was found
- Fewer round trips with underwriters confirming details against originals directly
- Defensible records with recordkeeping that is easy to explain in a review
Challenge
Extracted fields are a copy, not proof
Working from structured data is efficient, but a field in a system is a step removed from the record it describes. If the only thing on hand is the extraction, there is no way to show what the original actually said. For a decision that a policy is issued against, that gap is a real risk.
The original is needed exactly when it is hardest to find
Questions come up during underwriting review, quality checks, and audits, often well after the search was done. That is the moment the original document is needed, and if it was not saved in a findable way, someone has to go back and retrieve it from the source all over again. The context of how it was found is usually gone entirely.
Loose storage does not hold up in a review
Saving files somewhere is not the same as being able to produce the right one on demand. Without a stable reference and something to search on, a folder of documents is hard to navigate and harder to explain when a reviewer asks to see the source behind a specific value.
Solution
We built a workflow that archives the supporting files right next to the structured data, each one saved with a stable reference and made findable, so the source behind any value is one lookup away.
Save the originals
The original recorded PDFs are saved from the source systems, and images of the search result screens are kept so the retrieval context stays visible.
Store with a stable reference
Each item is placed in cloud storage with a stable reference, so the same file can be pointed to reliably from the working data.
Make it findable
Every file is paired with a short summary, metadata, and keywords, so the right document surfaces without digging through loose storage.
The source sits beside the data, not apart from it
Rather than living in a separate pile, each supporting file is archived alongside the structured value it backs. The original PDF and the search result screen are both kept, so a reviewer sees not just the record but how it was retrieved.
Findable, not just saved
A stable reference means a value can point directly to its source. The summary, metadata, and keywords mean a person can find the right file by searching rather than by remembering where it was put. Storage becomes something you can navigate, not just somewhere things are kept.
Built to be explained
Because every value traces to a source and every source is findable, the whole record can be walked through in a review. A reviewer can follow a decision from the field in the system back to the document behind it, which is what makes the recordkeeping defensible rather than just organised.
